The membership category selected must reflect the participant’s status at the time of registration.

Eligibility for Member Rate

To benefit from the member rate, participants must complete their 2026 ESE membership payment before registering for the meeting.

Membership payment for 2026 will be verified during the registration process.
If you have not settled the ESE membership 2026 fees at time of registration, please do so before registering to the Autumn Meeting to benefit from the discounted fee.
2 NON-ESE POSTGRADUATE STUDENTS | UNDERGRADUTE STUDENTS FROM ESE MEMBER SOCIETY COUNTRY | OTHER UNDERGRADUTE STUDENTS
When registering for the meeting you must include confirmation from your Programme Director stating you are a postgraduate student and registered for an award.

REGISTRATION GUIDELINES
1. How to register
-
All registrations must be completed through the Online Registration Portal.
-
First, create an account, then sign in to finalise your registration.
-
When registering for someone else, create an account with your details and enter the delegate’s information (with their consent).
-
We recommend using a personal email address to avoid delivery issues.
-
A confirmation email with your registration number will be sent after submission.

2. VAT & Invoicing Information
Please read the information below carefully regarding applicable VAT rules and invoicing.
When registering, attendee will be asked to provide VAT Number/Fiscal ID (taxable status). Participants are responsible for the accuracy of the submitted information. No refunds will be accepted should the information provided is not correct.
All fees are stated in EUROS with Lithuanian VAT (where applicable). Please note that in accordance with Lithuanian and EU legislation, registration fees are subject to 21% Lithuania VAT (regardless of taxable status). Fees are stated in Euros. Local VAT is included.

3. Cancellation Policy

Cancellations must be submitted by email to the ESE Autumn Meeting 2026 Secretariat.

A 50% refund will be applicable for cancellations until August 15, 2026. After this date, no refund can be made.

Name changes are subject to a 20 EUR fee if requested at least one week before the event.

INVOICE:
An advance (proforma) invoice/Call for payment is issued only upon request.
The final invoice will be available for download in the Online Registration Portal three weeks after full payment. It will be issued based on the details provided during registration (step: Contact/Invoice details). Changes to these details (name, address, VAT, etc.) are allowed within 3 days of registration for a 20 EUR fee.

IMPORTANT INFORMATION

Delegates must bring their Registration Confirmation Letter to the Meeting to access the Registration Check-In desks.

Entrance to the meeting, exhibition and social event is granted through badges (Provided upon registration and must be always worn).​​​

INSURANCE
The registration fee does not include the participant’s insurance against accidents, sickness, cancellation, theft, property damage, or loss. Participants are advised to take out adequate personal insurance.
VISA INFORMATION
As you prepare for your visit to Lithuania, please note that participants are required to apply for a tourist (Schengen) visa, even if they are travelling to attend the ESE Autumn Meeting 2026. The trip is not considered a business trip for visa purposes.
Lithuania is a member of the Schengen Area, and visa requirements depend on your nationality. We strongly recommend that you check the applicable requirements well in advance.

Participants who require a visa to enter Lithuania must obtain it before registering. The ESE is not responsible for visa-related issues and does not provide refunds for registrations in case of visa refusal; the general cancellation rules apply. It is strongly recommended that participants arrange personal insurance to cover any situations related to their participation
INVITATION LETTER
Delegates may download their invitation letter from the Online Registration Portal once their registration fee has been paid in full.
CERTIFICATE OF ATTENDANCE
After the ESE Autumn Meeting 2026, the Certificate of Attendance will be available for download in the Online Registration Portal for all participating delegates.

UNEXPECTED CANCELLATION OF THE EVENT OR IMPOSSIBILITY TO HOLD IT
In the unlikely case that the Meeting cannot be held, in whole or in part, due to circumstances beyond the Organisers’ control or force majeure (such as riot, fire, explosion, accident, flood, earthquake, sabotage, strikes, acts of any government, war, terrorism etc), the Meeting Organisers cannot be held liable for any damages, costs or losses incurred, including registration fees, transportation, accommodation costs, or any other direct or indirect loss or consequential damages. The Organization encourages participants to take out their own insurance for the duration of their stay.

We take your privacy very seriously, and to comply with the European General Data Protection Regulation (GDPR) and other data protection consent requirements, we need you to confirm that you agree with our new Privacy Policy during the process of creating the account in our system.
